Job Description Summary The primary responsibility of this role will be to ensure the smooth and efficient administrative support to a Senior Executive Leader. In this role you will follow an individual work plan, meet day-to-day short-term objectives and resolve issues through immediate action or short-term planning. It is an exciting opportunity for someone who is self-motivated and comfortable using technology and operating at senior levels in an organization.

Job Description Essential Responsibilities

  • Providing administrative and organizational support including but not limited to: prioritize conflicting needs and handle matters expeditiously
  • Proactively engage on and see projects through to successful completion within strict deadlines
  • Plan, schedule, and arrange business meetings and travel itineraries
  • Prepare and reconcile expense accounts
  • Edit presentations, reports, spreadsheets, take meeting minutes, and support business reviews
  • Prepare, evaluate, and edit incoming and outgoing communications for multiple executive
  • Direct business contacts to appropriate managers
  • Coordinate onsite and offsite business meeting and events
  • Manage conference / huddle rooms and common office area
  • Raising and receiving purchases orders
  • Booking travel and managing expenses
  • Diary and meeting management
  • Raising and receiving purchases orders
  • Managing multiple projects and priorities and initiating follow up to ensure timely achievement of commitments
  • Creating presentations for internal use
  • Assist with passport and visa requirements


Qualifications/Requirements

  • Bachelor's degree
  • Experience supporting executive level leadership
  • Ability to deal with ambiguity and work autonomously
  • Ability to maintain high level of integrity and confidentiality
  • Strong verbal and written communication skills and ability to draft clear and concise communications
  • Strong administrative experience in a corporate environment supporting executives
  • Excellent interpersonal skills, leadership skills and teamwork
  • Proficient in Microsoft Office (Outlook, Word, Excel, and Power Point)
  • EU Work permit
  • Fluent in English and Italian
